DELEGATING TASKS

Our material is dedicated to one of the most important skills of a Manager — delegation. This magical tool is able to streamline the work, turn off your phone on vacation, and to teach subordinates to be independent.
Victoria Shukhat, MBS business coach, expert practitioner in the field of management development and company promotion strategy, organizational consultant.

WHAT IS DELEGATION?
The concept is derived from the Latin word “delegate”.
This is the name of people who represent a particular organization or country and have the right to protect their interests.
In management, this is one of the basic skills that a Manager should have.
The key to successful delegation is understanding:

Which tasks can be redirected to subordinates
Who can and can’t delegate tasks to
How to convey the essence of the task correctly
How to set goals and monitor their achievement
What to do if something went wrong
WHY IS THIS IMPORTANT?

According to Eric Bern, every person has 3 ego States:
child, parent, adult.

The leader usually acts as a parent, controlling, directing, praising, or punishing. Subordinates pose as children, they adjust and wait for commands.
But when the leader starts delegating, all participants become adults, where one is more experienced and the other is slightly less experienced. In this atmosphere, you want to learn and be the best.
Therefore, delegation is also an important personal development tool for managers who want to manage a successful team rather than large children.

WHAT CAN AND CANNOT BE DELEGATED

Everything that is included in the management cycle is the sole task of the Manager:

Planning
Process organization
Motivation
Punishments
Monitoring results
Situation analysis with subsequent goal setting
Everything else can and should be delegated!

Example: a first-class specialist is Often appointed as a Manager. But he is sure that no one can do it better than him, and most of the routine work is done by himself.
This is like death for a Manager, because he must deal with tactical tasks, business scaling and employee development.

WHO CAN I DELEGATE TO?
First, you need to typologize employees and understand who is who. HR specialists distinguish 4 categories of personnel:

Recruit
Experienced
Workhorse
Guru
The latter category is most suitable for delegation. This employee should combine professionalism and enthusiasm: he is competent, ambitious and proactive.

THEY RESIST!
If this is your first time, employees may perceive the transfer of authority as an additional burden.
Therefore, it is important to present the idea of delegation correctly.

The element of mentoring.
Your task is to grow a worthy Deputy.
A special degree of trust. You didn’t just choose this person!
Training for career development. An opportunity to be in the boss’s place.
ON VACATION WITH THE DISABLED
By PHONE
How do I evaluate my delegation skill? Think about how long you can be away from the office (without calls and mail) and not return to the ruins?

Before your vacation:

Set specific, achievable, and time-limited goals for your employees
Calculate the deadline for issues with a margin of 30 %
Give a speech and explain why it is in the best interests of employees to take over some of their responsibilities
You can assign different employees to monitor the situation. They will keep you up to date with the main points
After your vacation, be sure to praise the team! If something went wrong, do not spare time for a quiet debriefing.

DON’T BE AFRAID OF ANYTHING!
Many managers do not delegate authority because they are haunted by fears:

They’ll sit me down. This is typical for mid-level managers who do not have great ambitions.
They will leave. Typical for process management.
These fears are too exaggerated and harm the Manager in the first place. If you don’t want to be the most tired person in the company, you should start delegating. And you can deal with risks in the simplest ways. For example, assign new employees to a subordinate. This way they will feel themselves in the role of a Manager and realize their managerial ambitions.
